Glad Movement – Membership Terms & Conditions

Welcome to Glad Movement! We’re thrilled to have you join our community that celebrates movement, fun, and growth through our “Glad to be Moving” philosophy. Please review the following terms carefully — they outline your rights, responsibilities, and the way we operate as a trusted provider of children’s physical activity services in Victoria.

Please Note: Wherever the term “participant” appears, it includes the primary guardian if the participant is under 18 years old.


1. Enrolment & Trial Policy

  • Your enrolment secures your class spot—continuous, until you notify us otherwise. Programs run according to the Victorian school year, including school holidays.

  • Complimentary trial available for Mini Warriors, NinjAbility, and Teen Warriors. If you miss a booked trial without notice, this offer is forfeited, but casual attendance may be available if there’s space.

  • You must confirm your enrolment within 3 business days of the trial or your place may be released to someone else.


2. Membership Cancellation & Refunds

  • Full refund available if you cancel within 14 days of the first lesson, and you have not previously participated.

  • All cancellations — for new or existing members — require 14 days’ notice. Final payments will process during this time, after which enrolment will cease.

  • Use the iClassPro Portal or write to accounts@gladmovement.com to submit a Class Drop request.


3. Tuition & Payment Options

Fortnightly Direct Debit

  • Fees are debited every second Monday via iClass Pro / Payrix for two weeks in advance.

  • No charges are made for public holidays.

  • Additional charges, such as uniforms or competitions, will be added automatically.

  • Declined payments incur a $5.50 (bank debit) or $1.50 (AMEX/MasterCard) fee. Enrolment is cancelled if unresolved within 7 days.

Pay-As-You-Go (PAYG)

  • Book and pay for individual classes via the Customer Portal (subject to availability).


4. Family Discounts

  • A 10% discount applies to each additional enrolment in the same immediate family (e.g., siblings).

  • This discount does not apply to extended family or our already heavily discounted 90-minute classes.


5. Primary Contact Responsibilities

The listed primary contact is responsible for:

  • Managing tuition payments

  • Making decisions regarding class enrolments

  • Keeping payment details up-to-date
    All official communication will be directed to the primary contact.


6. Missed Classes & Make-Up Policy

  • You receive 12 make-up tokens per year, per active enrolment (1 per month).

  • Tokens expire 90 days after issuance and have no monetary value.

  • To schedule a make-up, notify us in advance. If a class is full, you’ll go on the waitlist for up to 2 weeks.

  • Tracking notice required:

    • 4 hours before class

    • 3 hours for Mini Warriors starting before 10 am

  • Unreturned make-ups become credits on your account.


7. Pausing Enrolment

  • Pause once per year for up to 2 weeks — credits applied, spot held.

  • For longer absences (e.g., medical), you may:

    • Stay on a priority waitlist for 90 days

    • Continue payments and use makeup tokens when ready to return

    • Provide a Return to Sport form if absence exceeds 90 days.


8. Health & Safety

  • Inform us about medical needs (allergies, conditions, neurodiversity) via your booking portal. Bring necessary plans and medications to every session.

  • Return-to-sport medical clearances are required after absences.

  • In emergencies, we call 000 and provide first aid. Guardians bear any medical costs.


9. Code of Conduct

  • We promote a respectful, inclusive environment. Disruptive conduct — including sideline coaching — may result in removal.

  • Spectators are asked not to interfere. Concerns should be emailed to info@gladmovement.com.

  • Staff hold the right to remove anyone impacting the experience of others.


10. Class Cancellations by Glad Movement

  • If staff cannot attend, we’ll arrange a substitute or issue a class credit.

  • No classes are held on public holidays — no charges apply.


11. Media & Photo Policies

  • iClass identifier photo may be used internally only for class roll identification.

  • Promotional media (photos/videos) require your consent and may be used anonymously unless withdrawal is requested.

  • Staff capturing media hold Working With Children Checks and aim to use Glad-owned devices.

  • If using personal devices, media must be transferred to management within 24 hours and then deleted from personal storage.


12. Data Privacy & Security

  • We comply with the Privacy Act 1988 and Australian Privacy Principles (APPs).

  • Personal data is managed through iClassPro. All financial data is encrypted and removed upon un-enrolment.


13. Direct Debit Service Agreement

  • All debit arrangements are managed via Payrix, and governed under their Service Agreement.

  • You’re responsible for maintaining sufficient funds, and acknowledge potential processing delays (e.g., public holidays or after hours).

  • Fees may apply for dishonoured debits. Variations to debit terms require 14 days’ notice.
